Hub Program Assistant
DEPARTMENT: The Hub
STATUS: Full-time
SALARY RANGE: $45,000 – $55,000 a year
PRIMARY OBJECTIVE:
The Hub is a Regional Behavioral Health Action Organization (RBHAO) serving as a strategic partner and resource for communities. It liaises between each region and the State, coordinating initiatives related to mental health, suicide prevention, substance misuse, and problem gambling. The Program Assistant provides essential administrative support to Hub staff and ensures the smooth operation of daily office functions.

RESPONSIBILITIES:
Administrative Support (50%)
- Provide administrative support to all Hub staff and manage office operations.
- Monitor, order, and maintain supplies and materials to ensure the office is well-stocked.
- Organize and support Hub meetings, including scheduling, room reservations, and managing virtual links.
- Prepare meeting agendas, take attendance, record minutes, and provide technical support as needed.
- Manage Hub communications via phones, emails, and other channels.
- Support Hub events, meetings, and initiatives, including logistical coordination.
- Assist with website and social media management in collaboration with the Communications Team.
- Input and maintain accurate data in Salesforce, including mini-grantee reporting.
- Track and inventory NARCAN supplies, ensuring accurate records and compliance with reporting requirements.
- Coordinate material drop-offs and pick-ups as required.
- Ensure timely and accurate reporting in alignment with grant deliverables and DMHAS requirements.
Communications (50%)
- Prepare, edit, and disseminate materials such as resource guides, training flyers, and videos.
- Assist with planning and executing awareness campaigns.
- Represent the Hub at community events, health fairs, and other outreach activities as needed.
- Serve as a liaison to Catalyst CT’s Communications Team, managing SharePoint updates, website content, and other materials.
- Participate in Training of Trainers (TOT) sessions and deliver Hub training as required.
- Support the team in meeting grant deliverables and other programmatic needs.
QUALIFICATIONS
Education:
- High School Diploma or Equivalent
- Associate degree or bachelor’s Degree
- Relevant Experience and/or additional certifications related to the position
Experience:
- Minimum of 1 year of experience in an administrative role preferred.
- Proficiency in Microsoft Office Suite and common office equipment.
- Excellent oral and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to prioritize tasks, work independently, and solve problems effectively.
- Experience in supply management and inventory control is a plus.
Physical Requirements:
- Ability to sit, stand, and use a computer for extended periods.
- Occasionally lift and carry supplies or materials up to 25 lbs.

PRIMARY OBJECTIVE:
The Hub is a Regional Behavioral Health Action Organization (RBHAO) serving as a strategic partner and resource for communities. The Program Manager provides leadership in managing prevention, treatment, and recovery initiatives for behavioral health within Connecticut’s Region 1, with a focus on reducing e-cigarette use among individuals under 21. This role ensures successful implementation of programs through data-driven decision-making, strategic planning, and stakeholder collaboration.
COMPETENCIES:
Community Outreach, Advocacy, and Education
- Community Engagement: Builds and maintains strong relationships with community stakeholders, effectively communicating program goals and strategies.
- Leadership and Collaboration: Fosters team development and works collaboratively to ensure alignment with organizational objectives.
- Program Delivery: Ensures fidelity to program designs and successful implementation of designated activities.
- Data Management: Collects, analyzes, and utilizes performance data for continuous improvement and grant compliance.

RESPONSIBILITIES:
Program Supervision (20%)
- Conduct monthly supervision sessions with staff, weekly check-ins, and monthly team meetings.
- Provide individualized support to Program Coordinators to enhance their performance and
impact. - Supervise Coordinators and their initiative work, ensuring alignment with program goals.
- Oversee, review, and approve assigned Hub team tasks to ensure fulfillment of contract
deliverables. - Lead the planning and organization of regional stakeholder and strategic planning work required by contracts.
- Identify and provide professional development opportunities for direct reports to foster skill-building and growth.
Grant and Data Management (30%)
- Collaborate with the Program Director and Catalyst CT to manage grant funds effectively, ensuring compliance with grant requirements and alignment with deliverables.
- Implement the Strategic Prevention Framework (SPF), including:
- Assessment: Prepare and submit the Needs Assessment Report as required by the grant timeline.
- Capacity Building: Identify and address community resource gaps and readiness.
- Planning: Develop the Strategic and Implementation Plan in accordance with funding requirements and deadlines.
- Implementation: Execute approved strategies and activities to meet program goals.
- Evaluation: Prepare and submit Evaluation Plans and Summaries on a timely basis, ensuring compliance with grant expectations.
- Prepare and submit all required reports, including:
- Sustainability Plans, Monthly Service Data Entries, and Monthly Reports on contract deliverables.
- Quarterly Expense Reports and Final Program Reports in alignment with grant reporting schedules.
- Track and manage program data in Salesforce and the preferred data tracking system specified by the funder to meet grant deliverables.
- Ensure all documentation and reporting are completed accurately and submitted by established deadlines
to maintain program compliance.
Staff and Team Development (20%)
- Provide guidance and support to Program Coordinators to enhance their skills and effectiveness.
- Assist the Program Director in identifying and addressing staff training needs.
- Foster a collaborative, inclusive work environment that promotes staff growth and engagement.
Community Coordination and Engagement (30%)
- Facilitate community presentations, training sessions, and outreach efforts related to behavioral health and e-cigarette prevention.
- Plan and coordinate awareness campaigns, advocacy initiatives, and events aligned with regional priorities.
- Represent Catalyst CT at state, regional, and local meetings, ensuring alignment with stakeholder goals.
- Manage the Hub’s online communications, ensuring accuracy and timely updates.
- Oversee related initiatives, councils, and task forces, ensuring program objectives are met.
Additional Responsibilities
- Collaborate with Catalyst CT staff and leadership on cross-departmental and organizational initiatives to ensure alignment with strategic goals.
• Undertake additional duties and responsibilities as assigned by the Program Director, ensuring flexibility and responsiveness to organizational needs.
• Demonstrate consistent and reliable attendance, adhering to the expectations and requirements of the role.
• Actively support and promote Catalyst CT programs, including those addressing substance misuse prevention, behavioral health promotion, opioid response, suicide prevention, and problem gambling prevention.
